GESCAN INTRODUCES DOCUMENT AND WORKFLOW MANAGEMENT
 GROUPWARE FOR THE ENGINEERING DEPARTMENT
RESEARCH TRIANGLE PARK, N.C., May 8 /PRNewswire/ -- GESCAN International, Inc. today announced its first "office specific" Groupware for Document & Workflow Management.
The first product, GESCAN-EDMS (Engineering Document and Workflow Management) is designed specifically to manage documents and control workflow in the engineering office.
In development and customer testing for over a year, GESCAN-EDMS combines the functionality of image management and drawing management with text search and retrieval into a single software package for managing documents and their flow in engineering organizations.
In addition to the functions normally associated with Document Mannagement Systems (image and text storage and retrieval, "version" management, viewing, editing and redlining), GESCAN-EDMS offers "current awareness" and workflow management capabilities.
Engineering documents which are specifically managed include drawing, specifications, engineering change proposals and notices, plant instructions, operations manuals, training manuals, maintenance manuals, material safety data sheets, weekly and monthly status reports and technical data. GESCAN-EDMS's Current Awareness Feature Facilities Concurrent Engineering
GESCAN-EDMS provides engineers, draftsmen and managers the ability to continously monitor all documents managed by the system for updates or additions of importance. By providing this monitoring capability, everyone in the workgroup is continually informed of work completion, document changes and proposed changes to designs. This current awareness capability facilities concurrent engineering.
Current awareness capability is achieved by setting up interest profiles for each member of the workgroup. Interest profiles consists of words, phrases, concepts, Boolean expressions, proximity and numeric conditions. Interest profiles can be set up to watch any part of a document or the whole document. No other Engineering Document Management System provides this current awareness capability. Interest Profiles Are Used to Achieve Workflow Management Without Workflow Programming
GESCAN-EDMS provides workflow management without the burden of workflow programming. Simply by setting up interest profiles, each individual in the workgroup receives the documents he or she is assigned to process, approve, or complete. For example, the addition of a signature code automatically notifies the next reviewer of the document's status. GESCAN'S EDMS's Fast Text Processing Algorithm Makes the Interest Profile Approach Practical
Gescan International's patented text processing algorithm performs character matching, numeric ranging, proximity and logic resolution at speeds over 10,000 times that of competing technology. This speed advantage makes it possible to manage documents without indexing and workflow programming. This unique capability is achieved through the use of "interest profiles."
Because GESCAN's algorithm reads documents and performs the necessary calculations so fast, many interest profiles can be processed simultaneously. This capability makes the interest profile approach to routing documents in a workgroup practical. Competing solutions must first index the words in a document before it can be routed. GESCAN-EDMS's Unique Technology Provides Significant User Advantages
GESCAN International has entered the Engineering Document Management System market from its strong position as a provider of text search and retrieval systems. Its unique technology eliminates the need to create complex indexes to achieve fast search and retrieval. As a result, GESCAN-EDMS offers:
-- simpler implementation, data loading and system administration,
-- a single integrated solution to both document and workflow
 management,
 -- a single commercial, off-the-shelf turn-key solution that can
incrementally grow to service increasing numbers of users and
 documents,
-- a minimum database design and system requirements analysis
 effort,
 -- user tailorable menus,
-- a need for less storage and CPU resources, and
-- low first cost and life cycle cost. GESCAN-EDMS Supports Document Import and Exports in a Variety of Standard Formats
GESCAN-EDMS accepts documents from Scanners, CAD Systems and Word Processors. Specific inputs include AutoCAD, Intergraph, WordPerfect, Mass-11, WPS Plus, DecMail, and All-in-1 Mail. Optional interfaces to EDI and Faxes are offered. The system supports Client workstations running X-Windows Motif. An Application Programming Interface (API) is provided to allow customized integration with other office systems. System hardware options include Alphatronics erasable optical jukeboxes, Calera Recognition System Optical Character Readers, large document scanners and plotters.
GESCAN uses DEC Image Application Services and is fully compatible with DEC's Compound Document Architecture (CDA).
Prices range from $25,000 to $85,000 for the GESCAN-EDMS software. Turn-key systems consisting of GESCAN-EDMS, scanner/OCR, large drawing scanner, laser printer, CalComp plotter (for large drawings), and DEC VAX 4000 computers are offered from $200,000 and up.
GESCAN offers a full compliment of installation, customization, integration, training and maintenance service.
