Travel Company Uses Ultimate Software's UltiPro to Efficiently Manage its Distributed Workforce.
Pleasant Holidays was using an in-house HR/payroll solution prior to UltiPro that did not deliver the reporting tools and functionality that the travel company needed to more effectively manage its workforce. Because nearly 70% of its employees are in virtual locations and satellite offices outside of its Westlake Village, Calif., headquarters, Pleasant Holidays sought an integrated solution to facilitate reporting and accommodate employees and administrators regardless of their geography. After an on-time, on-budget implementation, Pleasant Holidays went "live" on UltiPro in June 2003 and immediately began experiencing business value with workforce reporting.
"We have six distinct business units and need to run reports daily that focus on the entire company or on individual business units. With UltiPro, we can drill down to more specific areas, such as by job or hire date. Now Pleasant Holidays has on-demand, customizable workforce reporting to monitor trends and support decision-making that we didn't have before," said Laurie Nichols, HR manager for Pleasant Holidays. "Since many of our employees are off-site, UltiPro's reports give us critical feedback so that we can see in black and white what's happening with our workforce."
In addition, executives and managers are noticing benefits beyond reporting. Using UltiPro's roles-based security, Pleasant Holidays is leveraging the Internet to empower remote executives, managers, and HR staff with rights to information that can help them make decisions, answer questions, or plan ahead. Approximately 90 managers have been given the ability to view details about the people who report to them, and UltiPro system administrators can update human resource data within their particular areas of responsibility. With UltiPro's Web-based functionality, the solution is available 24-7 regardless of time zone.
"Now our managers and members of HR who are not in our main office can get information on their own, streamlining management for supervisors and human resources," said Nichols. "Along with being able to run reports on their teams, managers can approve paid-time-off requests and initiate salary increases without phone calls, e-mails, or trips to the HR department to check out a physical, paper file. No matter which office they work in, HR team members can log onto UltiPro using the Internet to start the process for new hires, terminations, or job changes. UltiPro guides them through the process with 'wizards' that ensure we don't omit a step."
Pleasant Holidays is also addressing the challenge of managing a distributed employee base with self-service. Rolled out to approximately 750 Pleasant Holidays employees, self-service permits personnel to see their own compensation history, benefits deductions, and other personal details in UltiPro. The solution includes a portal that fosters employee communication with company news, forms, links to benefit providers, and much more.
