Tips for better board meetings. (Meetings). Here are some tips to keep your next meeting on track. 1. When you are meeting in an unfamiliar place, do a site visit to ensure that the space works and all necessary equipment is on hand. 2. Send the meeting agenda and materials to board members at least two weeks prior to the meeting. Ask them to confirm receipt of the materials and whether or not they will attend. 3. Visit at length with the chief elected officer prior to the meeting, reviewing each agenda item. 4. Address during the early part of the meeting--when members are more lively and creative--items on the agenda that need clear thinking. 5. In a lengthy discussion of an item, list points on a flipchart so they aren't repeated or lost. 6. Consider having your accountant present financial statements to the board. Members often are more satisfied by an expert's credibility. 7. End the meeting on a high note so that members leave with a good feeling about their time and effort. 8. No later than two days after the meeting, send out a one- or two-page summary of the highlights of action taken during the meeting.
