* Excel quick formats: General--Ctrl+Shift+~(tilde A symbol used in Windows, starting with Windows 95, that maintains a short version of a long file or directory name for compatibility with Windows 3.1 and DOS. For example, the short version of a file named "Letter to Joe" would be LETTER~1. Then "Letter to Pat" becomes LETTER~2. ); Currency--Ctrl+Shift+$; Percentage--Ctrl+ Shift+%; Date (d, m, y)--Ctrl+Shift+#.

* Print Preview A software function that displays on screen the way a document will print on paper. Print preview eliminates wasting paper as corrections are made before the document is printed. In addition, network printers are not always close by and easily accessible. : Press Ctrl+Alt+I or Ctrl+F2 to toggle To alternate back and forth between two states.

toggle - To change a bit from whatever state it is in to the other state; to change from 1 to 0 or from 0 to 1. This comes from "toggle switches", such as standard light switches, though the word "toggle" actually refers to

On occasion you may find you cannot implement a function I describe in this column. More often than not it's because not all functions work in every operating system or application. I try to test everything in the 2000 and XP editions of Windows and Office. It's virtually impossible to test them in all editions and it's equally difficult to find out which editions are incompatible with a function. I apologize for the inconvenience.
