Integration Solutions to Streamline Operations

and Enhance Constituent Services

Adobe Systems Incorporated (Nasdaq:ADBE), the leader in network publishing, today announced that Kansas Department of Transportation (KDOT) is using Adobe document integration solutions to better manage document generation and processing inside and outside of the agency. Adobe products help enable KDOT to streamline agency operations, enhance constituent services, and facilitate information sharing among staff.

With more than 3,000 employees, KDOT manages transportation planning, data collection and evaluation, and other activities supporting the state's network of roads and bridges. Using Adobe document integration solutions, KDOT staff can more efficiently handle administrative tasks and better manage project information. By moving from manual to more automated processes, KDOT eliminated wasted time and data errors that occurred as employees keyed data from paper forms into backend systems. In addition, once the data was captured the Adobe Workflow Server software streamlined the process of receiving and reviewing information.

Enhanced Constituent Services

The processes of issuing Highway Access Permits and approving Project Authorizations highlight how Adobe document integration solutions are helping KDOT expedite public projects. To speed processing of applications for Highway Access Permits -- for citizen projects such as building driveways and parking lots -- KDOT employees complete forms online, attach related documents and plans, and then electronically route materials to staff for review. Upon approval, Highway Access Permits in Adobe PDF are generated and archived in the agency's document management system.

To eliminate the routing of large amounts of paper for the more than 3,000 construction projects requiring detailed Project Authorizations, KDOT staff automated its forms process using Adobe document integration solutions. The online form extends to KDOT employees a GUI interface for entering project information that is automatically integrated into backend systems. After a staff member completes the form, the Adobe-powered workflow creates an authorization and a schedule that are routed to managers for digital approval. Those documents are saved instantly to the document management system, and employees are alerted by e-mail that project documents are available.

Automated Administrative Tasks

KDOT also converted 24 manual, paper-based administrative workflows to fully electronic processes. Now, employees can use the agency intranet to complete evaluations, procurement requests, and other business forms online. Once completed, the forms are automatically routed -- based on an XML-driven rules process -- to managers for review and electronic sign off.
