) provider of imaging, workflow and collaboration software See collaborative software. , today announced that ImageSource Inc. of Olympia, Wash., has completed the implementation of an electronic Work Order Authorization system for the Washington State Department of Transportation The Washington State Department of Transportation (WSDOT), led by a Secretary and overseen by the Governor, is a Washington governmental agency that constructs, maintains, and regulates the use of the state's transportation infrastructure.  (WSDOT WSDOT Washington State Department of Transportation ).

The Planning and Capital Management department at WSDOT is responsible for two major program areas: highway preservation and highway improvement. Planning and Capital Management uses a process called Work Order Authorization (WOA WOA Wacken Open Air (music festival)

) to authorize project funds. The corporate headquarters (Operating Service Center) and six regional Program Management divisions are responsible for WOA processing. The primary tool used in this process is the WOA form. Since each region of the state depends on WOA to deliver its portion of the total highway construction budget, it is extremely important that the WOA form is accurate and clear, and that each form is submitted in a timely fashion.

Setting up a work order involves several computer systems at WSDOT that work in parallel to track WOA data. This data is manually entered by the WOA processing staff into multiple systems, often duplicating information and creating redundant data. Because the WOA approval also involves multiple levels of authorization, the process is inefficient due to needless paper handling. Sometimes a work order is delayed due to simple human error.

In order to ensure accurate and on-time processing of the WOA system, ImageSource designed an Optika Acorde Electronic Document Workflow Management System for WSDOT. A key feature of the Acorde system is a Web-based WOA form that replaces the current paper form. The Web form pulls data from existing WSDOT databases to synchronize the systems and eliminate redundant data entry. The new system is designed to reduce the time it takes to process WOA forms, increase user productivity and significantly reduce the error rate.
