Appointments made easy: enterprise scheduling system allows New Jersey community hospital to decrease waiting times, reduce gaps between procedures and capture more registration information upfront.Enterprise scheduling systems are designed to enhance revenue cycle management through more efficient and reliable billing, while also eliminating the organizational confusion of inadequate scheduling processes, which place great burdens on both patients and healthcare personnel. Significant efficiencies can be gained through enterprise scheduling systems by acquiring all necessary information at the first point of patient contact: scheduling. Additionally, the quality of patient care and level of satisfaction can be improved with enterprise scheduling. Problem Robert Wood Johnson University Hospital One of the nation’s leading academic medical centers, Robert Wood Johnson University Hospital provides state-of-the-art care across the full range of health care services. Hamilton (RWJUHH) is a fast-growing 200-bed community hospital in Hamilton, N.J. These changes brought a steady growth in patients--and a correspondingly high level of patient dissatisfaction with the hospital's existing scheduling system. The central scheduling department reported average daily patient call abandonment rates as high as 29 percent, and an average of 3.5 minutes waiting time to answer a call, with waits as long as 29 minutes recorded. Attempts to schedule multiple procedures in various locations further compounded our problems. Since patient satisfaction rates consistently ranked in the 80th percentile percentile, n the number in a frequency distribution below which a certain percentage of fees will fall. E.g., the ninetieth percentile is the number that divides the distribution of fees into the lower 90% and the upper 10%, or that fee level , we were determined to move quickly to correct the scheduling deficiency. Solution The central scheduling department teamed with the IS department to identify precise needs and to define project goals. In July 2002, we began investigating technology solutions. After researching various healthcare scheduling technology vendors, we sent an RFP (Request For Proposal) A document that invites a vendor to submit a bid for hardware, software and/or services. Implementation The most significant aspect of the project was the compressed implementation deadline, since we thought the existing scheduling problem had a great potential to seriously affect the viability of the facility. The timeline for installation, training and implementation was set at 90 days. Our analysts worked closely with Tempus staff to develop a bidirectional interface that would enable us to capture more concise and accurate preregistration data and to share this information seamlessly. With the bidirectional interface in place, call abandonment rates and waiting times have significantly decreased. Call abandonment rates are as low as 1 percent, and the average time to answer calls is between 20 and 39 seconds. In addition to increased improved service, the scheduling system has allowed greater utilization of resources. The new system allows us to change the data in real time. We also have improved our preregistration efficiency.
