LONG BEACH, Calif. -- The eBusiness Division of ACOM Solutions, Inc. has introduced a dramatically upgraded Microsoft Windows-based version of its EZeDocs document output management solution, with expanded capabilities for form design, management and distribution, as well as compatibility with all operating systems, computing platforms and corporate/financial management software, it was announced today by Vice President Sam Mikhail. EZeDocs enables companies to optimize document management processes by eliminating the need for preprinted forms in virtually all business processes, from the personnel department to the production floor, to sales and billing and more. Instead, they create and store electronic templates of their document forms, merge the templates with data when documents are required, and generate high quality printed copies via laser printers located at any point on the corporate network. Documents can also be distributed in a completely paperless environment, externally as well as internally.

The EZDesigner GUI design tool and the document production engine are extremely flexible in allowing users to imbed conditions and rules that are automatically applied as documents are produced.

"For example," Mikhail said, "Form templates can carry instructions that relate to individual lines on a document, such as 'if you see this, apply that,' and the operation is performed automatically as the document is produced. This is an extremely valuable feature for marketing campaigns, billing discounts and similar activities where variables come into play. EZeDocs is very easy to use and requires very minimal user training. All the user needs to do is to route the print data through the EZeDocs virtual printer driver and the system does the rest.

"EZeDocs intelligently recognizes the type of form required, applies formatting rules, creates one or multiple copies, delivers individual documents to recipients via email, fax or web posting, and archives electronic copies of all documents."

By using EZeDocs, companies reduce the cost of issuing documents such as purchase orders, bills of materials and invoices to mere pennies, versus $1.50 or more using conventional form processes, Mikhail said.

"Direct savings result from the elimination of printing, wasted forms and inventory costs but when related, indirect costs are included, the cost per document can be several times that amount. Such costs include reduced personnel requirements, lower equipment and maintenance costs and the ability to distribute individual documents in the most cost-effective manner whether by mail, automated fax or automated email with PDF attachments.

"In conventional processes, forms often have to be discarded when changes occur. With EZeDocs, the templates can be modified to suit new purposes or new addresses in minutes, and their useful life is virtually infinite."

The solution also offers the ability to archive documents electronically, eliminating the need for file cabinets and file clerks. Instead, electronic copies of the documents can be retrieved for viewing, printing, or electronic redelivery without the employee ever leaving his/her desk.

All of the options - automated email and fax, PDF and archiving -- are available directly from the print stream, including the archiving of documents in online customer/vendor portals once they are established.
